A routine starts assistant work on its own: at a set time, or when a meeting summary is ready or approved. A recipe is a ready-made bundle of skills, connections, and routines that you add to an assistant in a few steps. A skill is a set of instructions an assistant follows. Find routines on each assistant’s settings page under Settings > Assistants. Add recipes under Settings > Assistants > Recipes, and manage skills under Settings > Assistants > Skills.

Only you or everyone

When you create a routine, a recipe, or a skill, you choose who it is for under Who can use it: The label names your workspace, for example Everyone in Sales. For a skill, the choice only decides who can use the instructions. The data and account rows apply to routines and recipes.

Routines for everyone

A routine for everyone works for the team, so it sees less than you do. It never uses anyone’s own account, unapproved summaries, a personal calendar, or Intelligence suggestions. Every member can read the results in Floral. The conversation shows Shared with everyone in your workspace. Members can’t reply in it, because the assistant would then be working for one person inside shared work. Floral says This conversation is shared and read-only here. To follow up, start your own conversation. Changes that a routine proposes still wait for approval, like any other change. Routines that start when a meeting summary is ready or approved always run on your own meetings, for you only.

Recipes for everyone

Only administrators can add a recipe for everyone. Each connection the recipe needs must then be a team account. Your own accounts can’t fill it, because a routine for everyone never uses them. When no team account fits, the recipe asks you to ask an administrator to add one. If a required connection is missing, the recipe’s routines start paused. They resume once every required connection is in place.

When the owner leaves

  • Routines for everyone that the person owned are paused, not deleted. They stay in the list for an administrator to handle.
  • The person’s own routines, skills, and conversations are deleted.

Limits

Each person can have 10 routines, and a workspace can have 50. Paused routines count toward both limits. See Your account and team accounts for how connections work.
