Poppy can check how fast a public web page loads. When you connect Google Search Console and Google Analytics, she can also read your search and traffic data, and she always says which property and dates the numbers cover.
An administrator chooses which assistants the workspace has. Open an assistant from the sidebar to chat with it. You can also open Flora with the flower button in the top bar, or press Command-J or Control-J. You can also reach all 3 in Slack and Microsoft Teams, where each assistant can have its own app. See Use the assistants in Slack and Use the assistants in Microsoft Teams.
The 3 questions
Every time an assistant works, 3 questions decide what it can do. Floral answers them the same way on every screen.Whose Floral data? Always yours.
An assistant sees what you can see in Floral, never more. Your role, feature access, Work access, and workspace membership are checked every time it reads or changes something. When an assistant works for the whole team, it sees less. That happens with Team replies in a Slack or Teams channel and with routines for everyone in the workspace. It then uses only records that everyone in the workspace can see and summaries that have been approved. Your unapproved summaries, your calendar, and your Intelligence suggestions stay out.Whose accounts? Yours or the team’s.
Assistants can also work in other apps. Each connected app is one of 2 kinds:- Your account is an app you connected yourself, such as your Gmail. Only you can use it.
- Team account is an app an administrator connected for the workspace, such as the company’s Stripe. Everyone who uses that assistant can use it.
Who sees the answer? Only you, or everyone in the thread.
In the Floral app, in Slack direct messages, and in an assistant’s chat in Teams, only you see the conversation. In a Slack or Teams channel, an administrator chooses for each assistant: Private replies (only you see the answer) or Team replies (everyone in the thread sees it).Ask a question
Ask a specific question. Include the period, the company, or the record type when it matters. For example:
You don’t need to type the assistant’s name. Open the assistant you want, or message it directly in Slack or Teams.
Questions about how to use Floral are answered from this public documentation. Questions about your organization are answered from the records, meetings, and Sources in your workspace. Floral never sends workspace content to the documentation search.
Conversations are saved, so you can come back to them. Assistants do not remember earlier conversations. For instructions that should last, add a skill under Settings > Assistants > Skills, or ask an administrator to update the workspace context.
Assistants are AI systems, and answers can be wrong. Check important details before you rely on them.
How approvals work
Reading runs on its own. Changing something always waits for you.1
The assistant proposes a change
This covers changes in Floral, such as creating a Task, and changes in a connected app, such as a Gmail draft or a Billy invoice. The assistant saves the exact proposal and shows an approval card.
2
Read the card
The card shows what will change, in which app, and with which account. It also says whether that is Your account or a Team account. When a team account uses one person’s login, the card says Acts as and that person’s name or email.
3
Approve or reject
Only the person who asked can approve. Typing “yes” in the chat approves nothing. Use the buttons on the card.
4
Floral checks again and runs it
Floral checks your access again when you approve. An approval never gives an assistant more access than you have. The assistant then tells you the result and can propose the next step, which needs its own approval.
Connected apps
Connected apps is a switch an administrator sets on each assistant’s settings page. When it is off, the assistant uses only Floral data. Nothing is deleted. Connections and their settings are kept, so turning the switch back on restores them. For Flora, the switch starts off until an administrator turns it on. Administrators can also choose which services the workspace can use at all, under Available services on the Connections tab. Turning a service off stops every assistant from using it. Accounts that people already connected are kept. On an assistant’s settings page, Your accounts are marked Available to you automatically. Under Team accounts, an administrator selects Use with this assistant or Remove from this assistant. Members see Ask an administrator instead.Where the settings are
Open Settings > Assistants. The tabs are:- Assistants: install, pause, or open each assistant. Its settings page holds Connected apps, the team accounts it may use, and its routines.
- Recipes: ready-made bundles of skills, connections, and routines. See Routines and recipes.
- Connections: Your accounts, Team accounts (marked Managed by administrators), and, for administrators, Available services.
- Skills: reusable instructions for assistants.
- Context: the organization and workspace context assistants use.
- Channels: the Floral app, Slack, and Microsoft Teams, where an organization administrator connects Slack or Teams and adds each assistant. Under In channels, an administrator chooses Private replies or Team replies for each assistant.
- MCP and Logs: access for external AI clients, and a log of tool use. Administrators see the whole workspace’s log. Members see their own.
