# Create and share reports

> Count meetings, companies, and Work for a period, share the numbers with your workspace, and export them.

Reports count your workspace's meetings, companies, and Work for a period. A report is a list of blocks. Each block shows one number, says in plain words what it counts, and lists the items behind it.

Reports replace Insights. They are available on every plan, but a report never gives you access to data you can't otherwise see: each block still needs access to its own source, such as meetings or Work.

## Create a report

Open **Reports** in the sidebar. The page starts with **Describe your report** and the starter reports. Before you have any reports, it also offers **Start blank**. **New report** opens the same three choices.

    Write what to count, from which data, and for which period, then choose **Propose report**. Floral shows the proposed report with its numbers before anything is saved. Choose **Create report** to save it, **Adjust manually** to open it in the editor, or **Discard**. When part of the request can't be counted, the proposal says which part was left out and what is supported instead.

    Choose a starter report and select **Preview**. The preview lists the blocks the report gets and any blocks left out in this workspace, with the reason. Choose **Create report**.

The starter reports are:

* **Meeting activity**: customer meetings this year by month, tag, and employee, and the companies you met.
* **Customer base**: customers, leads, and prospects today, and the companies you worked with this year.
* **Pipeline overview**: your default workflow this quarter, by stage and owner, with the won share and time in stage.

Some organizations also see templates made for their partnership.

A new report is private: only you can see it until a workspace admin shares it. To change a saved report, choose **Customize**, or **Ask to change** and describe the change.

## What each block counts

### Meetings

A meeting block counts approved summaries. Each meeting is dated by when it took place, not by when its summary was approved, and imported meetings keep their original date.

* **Which meetings** chooses **Customer meetings only** or **Include internal meetings**.
* **Group by** shows the meetings per **Responsible employee**, **Tag**, or **Participant**. A meeting can have several tags or participants, so the groups can add up to more than the total. The report says how much they overlap.
* A trend shows the meetings **By month** or **By week**. Months and weeks that are only partly inside the period are marked.
* Meetings approved before tags were recorded show as **Tags not recorded**.

### Work items

A Work block counts the work items of up to 10 workflows, optionally only some stages.

* It can count work items or companies, sum or average a value, or show a percentage.
* **Which date** decides when an item counts: when it was created, its expected close date, when it was won or lost, a date field, or **Current portfolio** for the items as they are today.
* Amounts are shown per currency and never added across currencies. An item without a value is not counted as zero: the block says how many items had no value.
* Grouped by owner, an item with several owners counts for each owner, so the groups can add up to more than the total.
* Archived and deleted items are not counted.

### Pipeline history

**Stage movement in period** counts how items moved through a workflow's stages: items that entered a stage, left a stage, or moved from one stage straight to another; conversion from one stage to another; the won or lost rate from a stage; and time in stage.

* Conversion and won and lost rates count the items that entered the first stage during the period and show the share that have reached the target **by today**. A past period's rate can still rise when items move later.
* Time in stage is shown in 24-hour days, as an average with the median next to it.
* Stage history is recorded from when it was turned on for your workspace. A period that ends before that says the history isn't known, never 0.

### Companies

A companies block counts companies in one of three ways:

* **Worked with in the period**: companies with an approved meeting, a Work item created, won, or lost in the period, or both.
* **Status today**: companies by their current status, such as customers.
* **Saved Contacts view**: the companies in a saved view, as it is today.

Archived companies count and are marked. Deleted companies never count.

### Employees from the CVR register

Organizations whose partnership includes it also see two blocks with official employee figures from the Danish company register (CVR) for a group of companies, such as your customers or a saved Contacts view:

* **Employees (CVR)** shows the companies per employee band, or the total for a year. Companies known only by a band make the total a range, never a guess.
* **Employment growth (CVR)** compares two years, as **Average company growth** or **Combined workforce growth**. Only companies with an exact figure in both years are compared, and the block says how many were left out and why.

Each block says how recent the register figures are.

## The report period and Today blocks

One **Time period** applies to the whole report: this or last month, quarter, or year, or your own dates. Periods follow the report's time zone, shown in the report bar.

Some blocks count today instead of the period: Work items on **Current portfolio**, and companies by **Status today** or a **Saved Contacts view**. These blocks carry a **Today** badge with the reason, and the report bar says how many blocks the period applies to.

## See the items behind a number

**Show N items** under a block lists the items behind its number, as they are now. For grouped meetings, select a group's number to list only those meetings.

When a block can't be calculated, for example because you lost access to its data or a stage it names was deleted, the block says why. It never shows 0 in place of a number it can't calculate.

## Share a report

Only workspace admins can share a report. Open the report, choose **Share**, and confirm **Share with workspace**. Shared reports appear under **Shared with workspace** for every member.

| Supporting data | Members an admin chooses | Also open the items behind the numbers, with only the fields the admin chooses. Other fields show as **Hidden**. |
| Admin | Workspace admins | Everything on every shared report, including sharing settings. |

Everyone sees the same numbers on a shared report, including members who can't open its sources themselves. Choose **Sharing** to pick editors and, under **Supporting data**, the members and the fields they can see. **Stop sharing** makes the report private again, owned by the admin who stopped sharing it.

Anyone who can see a report can choose **Duplicate** to make their own private copy. Blocks they can't use with their own access are left out, and the dialog says which.

## Refresh and freshness

Numbers are calculated in the background and kept for up to 10 minutes. Each block says when it was last updated.

* While newer numbers are calculated, the previous number stays visible, muted, with **Waiting to update** or **Updating**.
* A new block shows **Calculating…** until its first number is ready.
* **Update now** in the report bar recalculates every block.
* If a block **Couldn't update**, it keeps its last number and offers **Retry**.

The items behind a number are always listed as they are now, so they can differ from a number calculated a few minutes earlier.

## Export a report

* **Download PDF** in the report bar exports the whole report: its period, every block's number, explanation, and notes, in your language. The PDF lists no items. Anyone who can see the report can download it.
* **Download CSV**, next to **Show N items**, exports one block's items. It is available to members who can open the items. Supporting-data members get only the fields they are allowed to see.

A CSV holds at most 50,000 rows, and a table in a PDF at most 500 rows. Choose a shorter period when an export is too large. You can download up to 20 exports in 10 minutes.

## What moved from Insights

Reports replace Insights. A link to Insights now opens **Reports**. Until you dismiss it, a note on Reports links to the **Meeting activity** starter report.

Meeting activity covers the meeting views from Insights, with two differences: meetings are dated by when they took place rather than by approval, and you choose the period instead of a fixed 36 months. Reports count activity; the written themes in Insights are not carried over.
