# Build an invitation audience

> Build an invitation list from a saved Contacts view, review who is in and why, and keep a record of exports, handoffs and sends.

The **Audience** tab on an event turns a saved Contacts view into an invitation list you review and approve. Floral keeps a record of who was approved and why, what changed when you refreshed the list, and what happened to it afterwards. Floral does not send the invitations. You hand the list to your own email tool.

## Build an audience

1. Save a view under **Contacts** with the people or companies you want to invite.
2. On the event, open **Audience** and choose **New audience**.
3. Choose the **Saved Contacts view** and enter an **Audience name**.
4. Choose **Build draft**.

Floral evaluates everyone in the view now and saves the result as a draft. A company in the view adds its people. A company without any people is listed as excluded. Nobody is contacted until you approve the list and hand it off.

## Review and approve

Choose **Review draft** to see every member, why the view selected them and the state of their address. Filter by **Included**, **Excluded**, and after a refresh by **New**, **Left** or **Changed**.

* **Exclude** takes someone off the list. **Include** puts them back.
* People with a missing, invalid, suppressed or bounced address are excluded automatically and can't be included.

When the list is right, choose **Approve…**, describe the **Basis for contact** and choose **Approve**. Floral records who approved the list, when and why these people may be contacted.

### Address states

Floral only knows what it has seen in your workspace:

| State                | Meaning                                                                                           |
| -------------------- | ------------------------------------------------------------------------------------------------- |
| **Missing address**  | The contact has no email address.                                                                 |
| **Invalid address**  | The address isn't a valid email address.                                                          |
| **Suppressed**       | Someone in your workspace suppressed the address, or the person complained about an Events email. |
| **Known bounce**     | The latest Events email to the address bounced.                                                   |
| **No known problem** | None of the above. This isn't a delivery guarantee.                                               |

## Refresh the list

Contacts change. Choose **Refresh** to evaluate the view again. Floral saves the result as a new draft and shows what changed since the approved version: who is new, who left the view and whose status changed.

The approved list stays as it is until you review and approve the new draft. Choose **Discard draft** to keep the approved list unchanged.

## Export, hand off and record the send

These are separate steps, and Floral never counts one as another.

* **Export CSV** downloads a review file of the list with everyone's status. An export is not a send.
* **Hand off** checks every approved recipient again, then downloads the file for your email tool. Anyone who has since been suppressed, bounced, removed from Contacts or had their address changed is withheld. Enter the **Destination**, for example the campaign in your email tool.
* **Record send** records that the invitations from a handoff went out. Choose **Provider evidence** and enter the campaign or message reference from your email tool, or choose **Operator attestation** and describe the send in your own words. An attestation is always shown as one, not as evidence from a provider.

Floral records every export and handoff download: who downloaded it, when and how many rows, never the contents.

## Suppress an address

When someone asks not to be invited, choose **Suppress an address**, enter their email address and a reason. The address is excluded from every audience in the workspace, drafts are updated at once, and it's withheld at the next handoff. To undo it, enter the address again and choose **Remove suppression**.

## Privacy

Floral stores contact references and a fingerprint of each address, not names or addresses. When a person asks to have their data erased, Floral removes their audience records as well. Files you downloaded, and lists you imported into your email tool, are outside Floral. Delete them there.
