# Record attendance and plan follow-up

> Check participants in, finalise attendance, correct mistakes, and create follow-up Tasks for the companies and people who took part.

After the event, record who turned up, finalise attendance, and create follow-up Tasks. Attendance and follow-up happen on the event's **Participants** tab.

## Record attendance

Attendance starts as **Unknown** for every registered participant. Only registered participants have attendance. Waitlisted and cancelled registrations are left out.

* On a row, choose **Mark as checked in**, **Mark as no-show** or **Mark as unknown**.
* To mark several at once, select the rows and use **Mark as** in the bar that appears.
* Use **Add walk-in** for someone who came without registering. They're registered and checked in at once.

You can change marks freely until you finalise.

## Finalise attendance

Finalising records the result and closes registration for good.

1. Choose **Finalise attendance**.
2. Review the counts. The list shows everyone whose attendance is still unknown. Nobody is selected.
3. Select the people who didn't turn up. Only the people you select are recorded as no-shows. Everyone else stays unknown.
4. Choose **Continue**, check the summary, and choose **Finalise**.

Floral never turns unknown attendance into a no-show by itself. If the participant list changed while you were reviewing, Floral asks you to start again, so you never finalise an outdated list.

The attendance rate is shown once attendance is finalised and nobody is left unknown. Until then, it isn't shown.

## Correct attendance

After finalising, attendance can only be changed with a correction.

1. Choose **Correct attendance** on the participant's row.
2. Choose the new state in **Correct to** and enter a **Reason**.
3. Choose **Save correction**.

The earlier record stays in the history with the reason for the change.

## Plan follow-up

Follow-up creates ordinary Tasks for the registered participants and companies you choose. Nothing is created until you've reviewed it, and no emails are drafted or sent. You can't plan follow-up for a cancelled event.

1. Choose **Plan follow-up**.
2. Enter a **Purpose**. It starts every Task title.
3. Under **Who to follow up**, choose companies or participants. Choosing a company includes everyone registered for it. Nobody is selected until you choose them.
4. Under **Tasks**, choose **One task per company** or **One task per participant**. Participants without a company get their own Task either way.
5. Set a **Due date**, or leave it empty for a week after the event.
6. Choose **Review tasks**.

The review shows each Task before anything is created:

* **Owner.** The company's owner. When the company has no owner, the owner has left, or there is no company, the Task goes to the organiser and is marked as an exception. If the organiser has left too, it goes to you.
* **Existing work.** Open Tasks and Work already linked to the same people or company. This is shown so you can avoid duplicates. It doesn't stop you.
* **Source material.** Every Task is linked to the event. When Work is linked to the event, turn on **Link tasks to** that Work record if the Tasks should also appear on it.

Choose **Continue**, check the summary, and choose **Create tasks**. The result lists what was created and links to **View tasks**.

If someone changes the event, the participants or the chosen Work before you create the Tasks, Floral asks you to **Refresh preview** first. A review expires after 24 hours. Creating the same review twice never creates duplicates.

## After follow-up

Move the event's **Planning status** to **Follow-up** while the Tasks are open, and to **Evaluated** when you're done. The saved view **Follow-up in progress** lists events in follow-up.

Attendance appears on each person and company page under **Events**, with the company the participant represented. Company briefings can mention recent event participation.
