# Pipedrive

> Connect Pipedrive to use deals, notes, and activities in briefings and save meeting minutes in Pipedrive.

Connect Pipedrive so Floral can prepare briefings from your notes, deals, and activities, and save approved meeting minutes on the right organization in Pipedrive. You sign in with your Pipedrive account, so you do not need to copy any API keys.

## What the connection does

Floral does not change or delete anything that already exists in Pipedrive. It only reads and adds. Internal meetings, where all participants are from your own organization, are never saved in Pipedrive.

## Before you start

You need:

* **Organization administrator access in Floral.**
* **A Pipedrive user who can install apps** in your Pipedrive company account. Floral writes to Pipedrive with this user's access.
* **A field for CVR numbers on organizations in Pipedrive.** If you do not have one, a Pipedrive administrator can add a custom field called `CVR` under **Company settings > Data fields > Organization**.

### Copy the API key of the CVR field

Floral needs the field's API key, which is a long code of letters and numbers.

    Find your CVR field, open its menu, and select **Copy API key**. The key is 40 characters long, for example `abcdef1234567890abcdef1234567890abcdef12`.

## Connect Pipedrive

    In Floral, open **Settings > CRM connections** and select **Pipedrive**. You can also open **Settings > Sources** and choose the **CRM-forbindelser** tab.

    Paste the API key into **CVR-feltnøgle**.

  <Step title="Sign in to Pipedrive">
    Select **Forbind Pipedrive**. Pipedrive opens and asks you to sign in and allow Floral access to your account. Select **Allow** to continue. Finish within 15 minutes, in the same browser.

    Pipedrive sends you back to the list of CRM connections in Floral, and a message confirms **Pipedrive is connected.** The Pipedrive card shows **Forbundet**. If the message says the connection failed or was cancelled, start again from step 1.

## Choose activity or deal

After you connect, open the Pipedrive settings again to choose what approved meeting minutes become.

With deals turned on, **Pipeline (valgfrit)** lets you choose the pipeline for new deals. Choose **Standard-pipeline** to use your default pipeline in Pipedrive. New deals start in the pipeline's first stage without a value.

  Leave deals off unless every customer meeting should start a sales opportunity. Many teams prefer to create deals themselves.

## How Floral finds the organization

Floral remembers which Pipedrive organization each Floral company is linked to. When there is no link yet, it looks in this order:

1. **CVR number.** Floral searches your organizations' custom fields for the company's CVR number and links the first match.
2. **Company name**, only when you start a briefing. If the name matches exactly, Floral asks you to confirm that it is the same company before the briefing starts.
3. **Create the organization.** If nothing matches, Floral creates the organization in Pipedrive with its name and CVR number.

When approved meeting minutes or briefings are saved, Floral skips the name search. If the CVR number does not match, Floral creates the organization. Add CVR numbers to your companies in Floral and your organizations in Pipedrive to avoid duplicates.

## What Floral saves in Pipedrive

The minutes include the summary, what was discussed, and agreements and tasks with owners and deadlines. The first lines show the meeting date, the company, and a link back to Floral.

Floral finds each attendee in Pipedrive by email. If an attendee does not exist, Floral creates them as a person on the organization with their name and email.

Each finished briefing is saved as a note on the organization with a link to the briefing in Floral. Floral leaves out its own briefing notes when it reads your notes for the next briefing.

## Check your first sync

    Pick a customer that exists in Pipedrive with a CVR number, and make sure the company in Floral has the same CVR number.

    Start a briefing for the company. Check that it mentions notes, deals, or activities from Pipedrive, and that a briefing note appears on the organization.
  </Step>

  <Step title="Approve meeting minutes">
    Approve the minutes from a meeting with that customer. The minutes show **Synced to CRM** when the minutes have been saved.
  </Step>

  <Step title="Open the organization in Pipedrive">
    Check that the activity or deal is on the right organization and that the attendees were added as persons.

## Change or disconnect

* **Change the CVR field**: paste the new key and select **Forbind Pipedrive** again. Your other settings are kept.
* **Disconnect**: select **Afbryd** under **Forbindelsesstatus**. Floral forgets which organization each company was linked to. To remove Floral's access completely, also uninstall the app in Pipedrive.

## If something needs attention

| You see an error about administrators when you select **Forbind Pipedrive**  | Only administrators can connect a CRM. Ask an administrator to connect it.                                                                      |
| Floral creates new organizations instead of finding existing ones            | Check that the CVR numbers in Pipedrive and Floral match, and that the correct field key is saved.                                              |
| The minutes show **CRM sync failed**                                         | Read the error on the minutes, correct the cause, then select **Retry sync**.                                                                   |
| The minutes say **The summary isn't linked to a company.**                   | Link the meeting to a company in Floral, then retry.                                                                                            |
| **Ingen pipelines fundet**                                                   | Check that the Pipedrive user who connected can see pipelines in Pipedrive.                                                                     |

Floral retries a failed save automatically a few times over several hours. You can retry sooner from the minutes.
